Section 01

Booking & Cancellations

We ask all members to book classes in advance through our online booking system or the Reign member portal. This allows our instructors to prepare appropriately and ensures every member receives the attention they deserve.

Cancellation Window

Classes must be cancelled at least 8 hours before the scheduled start time to avoid a late cancellation fee. Cancellations made within 12 hours will result in the loss of that class credit.

Classes can be booked up to 14 days in advance for Founders and Unlimited members.

Drop-in and class pack members may book up to 7 days in advance.

If you are on a waitlist and a spot becomes available, you will be notified via email. You must confirm your spot within 2 hours or it will be released to the next member.

No-shows will result in loss of the class credit without exception.

Section 02

Late Arrivals

We understand that life happens. However, to protect the experience of all members and respect your instructor's time, we have a firm late arrival policy.

Important

Members arriving more than 5 minutes after class start time may not be permitted to join. This policy exists to protect the flow of the class and the safety of all participants.

Please aim to arrive at least 5–10 minutes early to set up your equipment and settle in.

First-time members must arrive 15 minutes early for a complimentary studio orientation.

If you are denied entry due to late arrival, the class credit will still be deducted.

Section 03

Class Etiquette

Reign is a shared sanctuary for movement. We ask all members to uphold a standard of mutual respect and mindfulness that allows everyone to focus, breathe, and connect with their practice.

Silence or vibrate your phone before entering the studio.

Wear clean, appropriate fitness clothing and grip socks for Reformer classes.

Avoid strong perfumes or scents out of consideration for sensitive members.

Wipe down all equipment with provided spray and cloths after each use.

Keep conversations quiet and reserved for before and after class.

Food is not permitted inside the studio. Water bottles are welcome.

Section 04

Memberships & Payments

All memberships are billed on a recurring basis on the same date each month. By purchasing a membership, you agree to the billing terms outlined at checkout.

Memberships with a commitment period (3 or 6 months) cannot be paused or cancelled before the commitment ends unless a medical exemption is provided.

Month-to-month memberships require 14 days written notice to cancel, submitted via email to sales@reignpilates.ca.

Membership holds (pauses) are available for medical reasons for up to 30 days per year, with documentation.

Failed payments will be retried within 48 hours. Access may be suspended after two consecutive failed payments.

Memberships are non-transferable and may not be shared between individuals.

Section 05

Health & Safety

The health and wellbeing of our members and staff is our highest priority. We maintain a clean, safe, and accessible environment at all times.

Medical Disclaimer

All new members are required to complete a health intake form prior to their first session. Please inform your instructor of any injuries, medical conditions, or physical limitations before class begins. It is your responsibility to consult a physician before beginning any exercise programme.

Do not attend class if you are feeling unwell, have a fever, or have been diagnosed with a contagious illness within the past 48 hours.

If you experience pain or discomfort during a session, please stop immediately and inform your instructor.

Pregnant members should notify their instructor and provide medical clearance from their healthcare provider before participating.

Reign Pilates is not liable for any injury sustained during classes as a result of pre-existing medical conditions or failure to follow instructor guidance.

Section 06

Studio Guidelines

To maintain a peaceful and productive environment for all members, the following guidelines apply throughout the studio at all times.

Street shoes are not permitted on the studio floor. Please change into grip socks or bare feet at the entrance.

Personal belongings should be stored in the designated lockers or cubbies. Reign is not responsible for lost or stolen items.

Children under the age of 16 are not permitted in the studio unless attending a designated family class.

Photography and video recording within the studio is only permitted with prior consent from the instructor and fellow members.

Harassment, discrimination, or disrespectful behaviour toward any member or staff will not be tolerated and may result in immediate membership termination.

Section 07

Private Sessions

Private and semi-private sessions offer personalised instruction tailored to your individual goals. Additional policies apply to these bookings.

Cancellation Policy for Privates

Private sessions require 24 hours notice to cancel or reschedule without charge. Cancellations within 24 hours will be charged the full session rate.

Private session packages expire 6 months from the date of purchase and are non-refundable after purchase.

Sessions may be used by the purchasing member only and cannot be transferred or gifted without prior written approval.

If your assigned instructor is unavailable, Reign will offer a substitute instructor of equal qualification. You may reschedule at no charge if preferred.

Section 08

Refunds & Credits

We want every member to feel confident in their investment with Reign. Our refund and credit policy is designed to be fair and transparent.

Class packs are non-refundable after purchase. Unused credits from class packs expire after 6 months.

Monthly memberships are not refundable for the current billing period once payment has been processed.

If a class is cancelled by Reign, a full credit will be applied to your account, valid for 60 days.

In exceptional circumstances (serious illness or injury), refund requests may be considered on a case-by-case basis with appropriate documentation. Contact sales@reignpilates.ca.

Credits are non-transferable and cannot be exchanged for cash.
